That means no markups on electronic records. Whether your request includes 3 pages or 3,000, any savings are passed directly on to you.
With our pricing model, you pay a $65 flat fee that covers every step of a standard records request, including:
- Preparation and submission of the request to the facility.
- Review of HIPAA authorization for accuracy and completeness.
- Ongoing follow-ups until the request is fulfilled.
- Real-time status updates available through our online portal.
- Automatic issuance of “No Records Found” certificates when applicable.
- Coordination of licensed agents for the pickup, copying, or digitization of records (California only)
- Verification of patient and provider information, as well as date ranges, to ensure the accuracy of received records

We understand that many medical record retrieval providers charge separately for medical and billing records—often doubling your costs. At ZAP SCANS, we take a different approach. If both record types can be requested together, you’ll only pay a single flat fee of $65 per request. However, if the provider requires separate requests—due to different departments or external billing vendors—then two requests may be necessary, each at $65. Whenever we can reduce costs, we make sure those savings are passed directly on to you.
Provider Medical Records Fees
To ensure a seamless and timely records delivery process, we initially cover any medical provider and copy service fees when required. These costs are then transparently included in your invoice. By issuing payment promptly upon request, we help keep your records moving without delays.
Please note:
- You may set a threshold amount that requires your approval before we pay any provider fees.
- If a provider’s fee exceeds legal limits, we will notify them and request compliance based on state regulations. If they refuse and the fee surpasses your defined threshold, we will seek your approval before proceeding with payment.
